How GeniSnow collects, uses, shares and protects personal data when providing AI receptionist, lead-capture and appointment-booking services.

Who we are

GeniSnow provides AI-powered website reception, lead capture, conversational assistance and calendar booking services. Until a legal entity is incorporated, references to GeniSnow mean the operator of genisnow.com.

Information we collect

We may process business account details, names, email addresses, phone numbers, appointment details, chat messages, business service information, authorised calendar information, billing records, technical logs and support communications.

How we use information

We use information to provide and secure the service, answer enquiries, qualify leads, check availability, create appointments, manage subscriptions, provide support, prevent misuse and comply with legal obligations.

UK GDPR legal bases

Depending on the context, processing may rely on contract, legitimate interests, consent or legal obligation. Business customers are generally responsible for identifying an appropriate lawful basis for visitor data they instruct GeniSnow to process.

Controller and processor roles

For data submitted through a business customer’s assistant, the business will normally be the controller and GeniSnow the processor. For account administration, billing, security and service-operation data, GeniSnow may act as controller.

AI processing

Messages may be processed by AI systems to generate replies, summarise enquiries and support booking workflows. AI output can be inaccurate and must not be relied on for emergency, medical, legal, financial or other high-risk decisions.

Calendar access

Calendar access is permission-based. GeniSnow may read availability and create events only after an authorised user connects a supported calendar. Access may be revoked through the provider account or GeniSnow settings.

Service providers

We may use OpenAI, Google, Microsoft, Supabase, Vercel, Stripe and communications providers. These providers process information under their own contractual and security arrangements.

International transfers

Some providers may process data outside the United Kingdom. Where required, we rely on approved transfer mechanisms and contractual protections.

Retention and rights

We retain information only as reasonably necessary. You may have rights of access, rectification, erasure, restriction, objection and portability, and the right to complain to the Information Commissioner’s Office.
